WAVE Taxi – Terms & Conditions
Effective Date: 6 January 2025
These Terms & Conditions (“Terms”) govern every booking made with WAVE Taxi (“WAVE Taxi”, “we”, “our” or “us”).
By making a booking with WAVE Taxi, the customer confirms that they have read, understood and accepted these Terms & Conditions on their own behalf and on behalf of all passengers travelling under the booking. These Terms & Conditions form part of the contract between WAVE Taxi and the customer and apply to every booking, whether made by telephone, WhatsApp, email, our website or by any other booking method.
The person making the booking warrants that they have the authority to accept these Terms & Conditions on behalf of all passengers travelling under the booking.
1. Definitions
1.1 Booking means any reservation accepted by WAVE Taxi.
1.2 Customer means the person making the booking.
1.3 Passengers means every person travelling under the booking.
1.4 Journey means the transport service booked with WAVE Taxi.
1.5 Driver means the driver appointed by WAVE Taxi.
1.6 No Show means the failure of the customer or passengers to attend the agreed pickup location within the applicable waiting period.
2. Bookings
2.1 All bookings are subject to vehicle and driver availability.
2.2 A booking shall only be deemed accepted when confirmed by WAVE Taxi.
2.3 WAVE Taxi reserves the absolute right, at its sole discretion, to refuse, decline or cancel any booking at any time, before or during the journey, with or without notice and without providing any reason.
2.4 Booking confirmations and communications may be made by telephone, WhatsApp, email, our website or any other communication method used by WAVE Taxi.
2.5 The customer is responsible for ensuring that all booking information is complete and accurate, including passenger numbers, luggage, pickup location, destination, pickup time, contact details and flight information where applicable.
3. Quotations and Prices
3.1 All prices are quoted in Pounds Sterling (GBP).
3.2 Unless otherwise agreed in writing, quotations apply only to the journey described when the quotation was issued.
3.3 Additional charges may apply where the customer requests:
-
- additional waiting time;
- route changes;
- additional mileage;
- additional pickup or drop-off locations;
- additional passengers;
- additional luggage;
- any alteration to the original booking.
3.4 All quotations are subject to correction in the event of any administrative, pricing or technical error.
4. Fare Calculation Errors
4.1 Whilst WAVE Taxi makes every reasonable effort to ensure that all fares, quotations, website information, booking systems and fare calculators are accurate, typographical errors, technical errors, software malfunctions, mapping inaccuracies or system failures may occasionally occur.
4.2 WAVE Taxi reserves the right to correct any pricing error, quotation error or booking error at any time before the journey commences.
4.3 Where an incorrect fare has been quoted or charged due to such an error, WAVE Taxi may:
-
- correct the fare to the amount that should reasonably have applied;
- request payment of the correct fare before the journey commences; or
- cancel the booking and provide a full refund of any monies paid.
4.4 The customer shall not be entitled to insist upon travel at an obviously incorrect fare resulting from a genuine mistake, technical malfunction or administrative error.
5. Payment
5.1 WAVE Taxi may require a deposit or full payment before travel.
5.2 Failure to make payment by the required deadline may result in cancellation of the booking.
5.3 Where payment has not been received, WAVE Taxi reserves the right to refuse transport.
5.4 All outstanding sums become immediately payable upon demand.
6. Responsibility for Payment
6.1 The person making the booking enters into this contract on behalf of all passengers travelling under that booking.
6.2 All passengers travelling under the booking shall be jointly and severally liable for all fares, waiting time charges, cancellation charges, vehicle damage, cleaning charges, repair costs, recovery costs and every other amount payable under these Terms & Conditions.
6.3 Where WAVE Taxi cannot identify the passenger responsible for any loss, damage, contamination or other charge, the person making the booking shall remain fully responsible for payment.
7. Changes to Bookings
7.1 Any request to amend a booking, including but not limited to the pickup time, pickup location, destination, route, number of passengers, quantity of luggage or any other booking detail, shall only be valid if expressly accepted by WAVE Taxi.
7.2 WAVE Taxi is under no obligation to accept any requested amendment and may refuse any requested change at its sole discretion.
7.3 Any accepted amendment may result in an additional charge or revised fare.
8. Cancellation Policy
Customer Cancellations
8.1 All cancellations must be made by email or WhatsApp.
8.2 The applicable refund shall be determined by the time the cancellation is received by WAVE Taxi.
8.3 Where cancellation is received:
-
- More than 72 hours before the agreed pickup time – 80% of all monies paid shall be refunded. A non-refundable 20% administration and booking fee shall be retained.
- Between 24 and 72 hours before the agreed pickup time – 50% of all monies paid shall be refunded.
- Less than 24 hours before the agreed pickup time – no refund shall be payable.
8.4 A No Show shall be treated as a cancellation made less than 24 hours before the agreed pickup time.
8.5 Where payment has not yet been received, the full agreed fare shall remain payable.
Flight Cancellations, Delays and Schedule Changes
8.6 Flight cancellations, delays or schedule changes do not automatically entitle the customer to a refund or free amendment.
8.7 Every booking reserves a driver and vehicle exclusively for the customer. During the reserved period, that vehicle and driver are unavailable for other bookings.
8.8 Accordingly, any cancellation resulting from a cancelled, delayed or rescheduled flight shall be treated as a customer cancellation and the above cancellation policy shall apply.
8.9 WAVE Taxi may, entirely at its sole discretion, agree to move a booking to another date or time. Any such amendment shall be subject to availability and shall not create any obligation upon WAVE Taxi to offer an alternative booking.
Cancellation by WAVE Taxi
8.10 WAVE Taxi reserves the absolute right to refuse, decline or cancel any booking at any time.
8.11 Where WAVE Taxi cancels a booking before the journey commences, the customer shall receive a full refund of all monies actually received by WAVE Taxi for that booking.
8.12 Such refund shall constitute the customer’s sole and exclusive remedy.
8.13 WAVE Taxi shall not be liable for replacement transport, accommodation, missed flights, missed ferries, missed trains, missed appointments, loss of earnings, legal costs or any indirect, consequential or financial losses arising from such cancellation.
9. Waiting Time
Local Pickups
9.1 The first 10 minutes after the agreed pickup time are provided free of charge.
9.2 After the initial 10-minute free waiting period, waiting time shall be charged at £10 for every commenced 10-minute period.
9.3 WAVE Taxi reserves the right, at its sole discretion, not to wait beyond a total of 10 minutes after the agreed pickup time.
9.4 If the driver leaves the pickup location after the permitted waiting period, the booking shall be deemed fully performed by WAVE Taxi. No refund shall be payable and the customer shall be responsible for arranging and paying for any replacement transport.
Airport Pickups
9.5 Where a valid flight number has been supplied, WAVE Taxi may monitor the flight and adjust the agreed pickup time where reasonably possible. Flight monitoring is provided as a courtesy only and WAVE Taxi accepts no responsibility for incorrect or unavailable flight information.
9.6 The first 30 minutes after the agreed pickup time are provided free of charge.
9.7 After the initial 30-minute free waiting period, waiting time shall be charged at £30 for every commenced 30-minute period.
9.8 WAVE Taxi reserves the right, at its sole discretion, not to wait beyond a total of 60 minutes after the agreed pickup time.
9.9 If the driver leaves after the permitted waiting period, the booking shall be deemed fully performed by WAVE Taxi. No refund shall be payable and the customer shall be responsible for arranging and paying for any replacement transport.
10. No Show
10.1 A booking shall be treated as a No Show where:
-
- the customer fails to attend the agreed pickup location;
- WAVE Taxi is unable to contact the customer using the contact details provided;
- the customer fails to appear within the applicable waiting period.
10.2 In every No Show case:
-
- the booking shall be deemed fulfilled by WAVE Taxi;
- the full agreed fare shall remain payable;
- no refund shall be issued.
11. Passenger Conduct
11.1 All passengers shall behave respectfully and lawfully throughout the journey.
11.2 Passengers must not:
-
- smoke or vape inside the vehicle;
- consume illegal drugs;
- consume alcohol without the driver’s permission;
- behave aggressively, abusively or threateningly;
- distract the driver;
- damage or contaminate the vehicle;
- commit any criminal or unlawful act.
12. Driver’s Right to Refuse or Terminate a Journey
12.1 The driver may refuse to commence or continue any journey where, in the driver’s reasonable opinion:
-
- a passenger is intoxicated or under the influence of alcohol or drugs;
- a passenger behaves aggressively, abusively or threateningly;
- a passenger creates a safety risk;
- a passenger breaches these Terms & Conditions;
- a passenger commits or attempts to commit a criminal offence;
- continuing the journey would place the driver, passengers or other road users at risk.
12.2 Where a journey is refused or terminated under this clause:
-
- the booking shall be deemed completed by WAVE Taxi;
- no refund shall be payable;
- the full agreed fare shall remain due and payable.
13. Driver Instructions
13.1 The driver has sole responsibility for the safe operation of the vehicle.
13.2 Customers and passengers shall immediately comply with every lawful instruction given by the driver.
13.3 Failure to comply with the driver’s lawful instructions may result in the journey being refused or terminated without refund.
14. Vehicle Availability and Substitution
14.1 Whilst WAVE Taxi will make every reasonable effort to provide the booked vehicle, WAVE Taxi reserves the right to substitute another suitable, legally licensed and roadworthy vehicle of the same, similar or higher class.
14.2 Vehicle substitution may occur due to, but not be limited to:
-
- mechanical failure or breakdown;
- accident or damage;
- tyre puncture;
- emergency repairs;
- police or regulatory action;
- severe weather;
- traffic congestion;
- driver illness;
- operational requirements;
- scheduling conflicts;
- the unavailability of the originally allocated vehicle; or
- any other circumstance beyond the reasonable control of WAVE Taxi.
14.3 Vehicle photographs, descriptions and promotional material displayed on the WAVE Taxi website, advertisements or social media are provided for illustrative purposes only and do not constitute a contractual guarantee that a particular make, model, colour or specification of vehicle will be supplied.
14.4 If the customer refuses to commence or continue the journey solely because they are dissatisfied with a suitable replacement vehicle, the booking shall be treated as a customer cancellation. The booking shall be deemed fulfilled by WAVE Taxi, no refund shall be payable and the full agreed fare shall remain due.
14.5 Where WAVE Taxi is unable to provide either the booked vehicle or a suitable replacement vehicle, WAVE Taxi may cancel the booking and refund any monies paid. Such refund shall be the customer’s sole and exclusive remedy.
15. Animals
15.1 WAVE Taxi does not transport animals.
15.2 The only exception is registered assistance dogs, including guide dogs, travelling with the person they are assisting in accordance with applicable law.
16. Refusal to Travel
16.1 If the customer refuses to commence or continue the journey because they are dissatisfied with the vehicle provided, despite the vehicle being legally licensed, roadworthy, safe and suitable for the booked service, such refusal shall be treated as a customer cancellation.
16.2 In such circumstances:
-
- the booking shall be deemed fulfilled by WAVE Taxi;
- no refund shall be payable;
- the full agreed fare shall remain due; and
- if the customer still requires transport, any replacement booking shall be treated as a new booking and charged at the applicable fare.
17. Luggage
17.1 Customers are responsible for ensuring that all luggage declared at the time of booking is suitable for the vehicle booked.
17.2 WAVE Taxi reserves the right to refuse to carry luggage that has not been declared at the time of booking where it cannot be transported safely or legally.
17.3 Additional luggage may require a larger vehicle and may result in an additional charge.
17.4 WAVE Taxi accepts no responsibility for loss of or damage to luggage, personal belongings or valuables unless caused directly by the proven negligence of WAVE Taxi.
17.5 Customers are responsible for checking that all luggage and personal belongings have been removed from the vehicle before leaving it.
18. Child Seats
18.1 Customers are responsible for complying with all applicable legislation regarding child seats.
18.2 Unless expressly agreed in advance, WAVE Taxi does not guarantee the availability of child seats.
18.3 Where a child seat has been requested, WAVE Taxi will make reasonable efforts to provide one but accepts no liability if this is not possible due to circumstances beyond its reasonable control.
19. Prohibited Items
19.1 Customers must not carry or transport any illegal, prohibited or dangerous items or substances.
19.2 WAVE Taxi reserves the right to refuse or terminate any journey where the driver reasonably believes a passenger is carrying any unlawful, dangerous or prohibited item.
19.3 WAVE Taxi and its drivers accept no responsibility whatsoever for the contents of any luggage, bags, packages, parcels or other items carried by customers.
19.4 Customers remain solely responsible for ensuring that all items transported are lawful and comply with all applicable legislation.
20. Vehicle Damage
20.1 Customers shall be fully responsible for any loss or damage caused to the vehicle by themselves or any member of their party.
20.2 The customer agrees to reimburse WAVE Taxi for:
-
- the full cost of repairs carried out by a manufacturer-authorised repairer or any repairer appointed by WAVE Taxi;
- towing, recovery, inspection and associated costs;
- compensation of £300 per day for every day the vehicle is unavailable for service due to the damage caused until it is returned to operational use.
20.3 These sums shall be payable in addition to any other legal remedies available to WAVE Taxi.
21. Vehicle Soiling
21.1 Where the vehicle is contaminated by vomit, bodily fluids, food, drink, excessive mud or any other contamination requiring professional cleaning or rendering the vehicle unavailable for service, a vehicle soiling charge of £600 shall apply.
21.2 This charge is intended to cover professional cleaning, sanitisation, administration and temporary loss of use of the vehicle.
22. Delays, Breakdowns and Force Majeure
22.1 Whilst WAVE Taxi will make every reasonable effort to perform every booking as agreed, no arrival, pickup or journey completion time is guaranteed.
22.2 WAVE Taxi accepts no responsibility whatsoever for delays, cancellations or failure to complete a journey caused by circumstances beyond its reasonable control including but not limited to:
-
- traffic congestion;
- road closures;
- accidents;
- severe weather;
- flooding;
- ferry disruption;
- police incidents;
- vehicle breakdown;
- tyre punctures;
- mechanical failures;
- civil emergencies;
- industrial action;
- acts of God; or
- any other unforeseen circumstance beyond the reasonable control of WAVE Taxi.
22.3 Customers are strongly advised to allow sufficient additional travel time, particularly when travelling to airports, ferry terminals, railway stations, cruise terminals or time-sensitive appointments.
23. Limitation of Liability
23.1 To the fullest extent permitted by law, WAVE Taxi shall not be liable for:
-
- missed flights;
- missed ferries;
- missed trains;
- missed cruises;
- missed appointments;
- accommodation costs;
- replacement transport;
- business interruption;
- loss of earnings;
- loss of profits;
- legal costs;
- indirect, incidental or consequential losses arising from delays, cancellations or failure to complete a journey.
23.2 Customers are strongly advised to obtain appropriate travel insurance or other insurance to protect themselves against any losses arising from delays, cancellations or unforeseen circumstances.
23.3 Nothing in these Terms excludes or limits any liability which cannot legally be excluded or limited under the laws of England and Wales.
24. Indemnity
24.1 The customer agrees to indemnify and keep indemnified WAVE Taxi, its drivers, employees and agents against any loss, damage, liability, claim, fine, penalty, legal costs, court fees or other expense arising directly or indirectly from:
-
- the customer’s breach of these Terms;
- the acts or omissions of any passenger travelling under the booking;
- damage caused to the vehicle;
- contamination of the vehicle;
- unlawful conduct;
- the transportation of illegal or prohibited items; or
- any claim brought by a third party arising from the customer’s actions or the actions of any passenger travelling under the booking.
24.2 This indemnity shall survive completion or termination of the booking.
25. Lost Property
25.1 WAVE Taxi will make reasonable efforts to retain property found in its vehicles.
25.2 WAVE Taxi accepts no responsibility for property left in the vehicle.
25.3 Any costs associated with returning lost property, including postage, courier charges or personal delivery, shall be paid by the customer in advance.
25.4 Unclaimed property may be disposed of after a reasonable period in accordance with applicable law.
26. Customer Warranty
26.1 The customer warrants that all information provided when making a booking is true, accurate and complete.
26.2 WAVE Taxi reserves the right to refuse or cancel any booking where false, misleading or incomplete information has been provided.
27. Electronic Communications
27.1 The customer agrees that WAVE Taxi may communicate by telephone, SMS, WhatsApp, email or any other electronic communication method used during the booking.
27.2 Electronic communications shall be deemed received when transmitted, unless the sender receives notice that delivery has failed.
28. Chargebacks and Payment Disputes
28.1 Customers shall not initiate a chargeback or payment dispute in relation to any valid charge properly payable under these Terms & Conditions.
28.2 Where a chargeback or payment dispute is found to be unjustified, the customer shall remain liable for:

- the outstanding fare;
- any bank or payment processor fees;
- administration costs;
- debt recovery costs;
- court fees;
- legal costs where recoverable by law;
- statutory interest where applicable.
29. Debt Recovery
29.1 WAVE Taxi reserves the right to instruct solicitors, debt collection agencies or commence legal proceedings to recover any outstanding sums due.
29.2 The customer shall remain liable for all amounts lawfully recoverable together with any applicable statutory interest.
30. Privacy
30.1 Personal information will be processed in accordance with applicable UK data protection legislation.
30.2 Customer information may be retained where reasonably necessary for legal, accounting, insurance, fraud prevention, regulatory or operational purposes.
31. Variations to these Terms
31.1 WAVE Taxi reserves the right to amend these Terms & Conditions at any time.
31.2 The version published on the WAVE Taxi website at the time the booking is made shall apply to that booking unless otherwise agreed in writing.
32. Waiver
32.1 Any failure or delay by WAVE Taxi to exercise any right under these Terms & Conditions shall not constitute a waiver of that right.
33. Severability
33.1 If any provision of these Terms & Conditions is held by a court or other competent authority to be unlawful, invalid or unenforceable, the remaining provisions shall remain in full force and effect.
34. Entire Agreement
34.1 These Terms & Conditions constitute the entire agreement between WAVE Taxi and the customer and supersede all previous discussions, representations, understandings or agreements relating to the booking.
35. Governing Law and Jurisdiction
35.1 These Terms & Conditions shall be governed by and interpreted in accordance with the laws of England and Wales.
35.2 The courts of England and Wales shall have exclusive jurisdiction to determine any dispute arising out of or in connection with these Terms & Conditions or any booking made with WAVE Taxi.
